How to Add or Change Offset Settings in Jervis Systems®

In Jervis Systems, you have the option to add an offset to your listings. This allows Jervis Systems to configure automated keyless access for early check-in and late check-out.

As a team with property management experience, we know how much of a headache it can be handle requests for early check-in or a later check-out time (including last-minute requests). In Jervis Systems, using our offset settings helps you to avoid the last-minute scramble to edit codes and access instructions.

In this guide, we outline how to add offsets and include a few helpful tips to keep in mind.

How to Set an Offset for Individual Reservations

To add or edit an offset for an individual reservation, editing the reservation will be the best option.

Navigate to the Reservations page, select the edit option and adjust the times for check-in and check-out as needed.

How to Set an Offset for Individual Listings

Editing offsets for an individual listing will apply to all reservations for that specific listing. To add or update, navigate to the Listings page in your Jervis Systems account and select the Operations menu > Edit.

Under the PIN code settings section for the listing, you can select the number of hours (up to 48) from the drop-down list for both your check-in and check-out offset.

All future reservations imported after you enable the offset feature will automatically have the offset applied for check-in and/or check-out.

If reservations were pulled in before the offset feature was enabled, the PIN codes will be added to the associated lock without the offset times configured.

After enabling the offset feature, affected reservations must be reprocessed. To do this, select the reservation from the Reservations page, then click the Reprocess Selected Reservations button.

This process will take some time depending on the number of reservations and will work in the background. Generally, you can expect it to take a few minutes per reservation. Once the process is completed, the access times will show the updated times. Otherwise, an error message will be displayed if the code was not able to be updated.

How to Set an Offset for Multiple Listings

If you want to apply the same check-in/check-out offsets across several listings, you can use the Bulk Update option. This is available at the top menu under the Listings section.

From the drop-down list at the top, select the listings where you want the settings to apply. Then select the number of hours you want to apply for check-in and check-out.

Whether you choose to add or edit the offset for a single listing or multiple, the code will be applied to the lock according to your settings and will work if the guest tries to access the rental early. Jervis Sytems does not let the guest know.

As with editing offset features for an individual listing above, you will need to reprocess affected reservations. Select the reservations you would like to reprocess on the Reservations page, and select the Reprocess Selected Reservations button.
