How to Connect Your RentalWise Account to Jervis Systems®

With the Jervis Systems-RentalWise integration, you can import your property listings and reservation details and automate property access via SET PIN codes and smart home device settings for guests, cleaning companies, and maintenance personnel.

Below we outline the complete step-by-step process to connect RentalWise to Jervis Systems, set up PIN code access, and configure automated messaging for guests:

  1. First, login to your Jervis Systems account and select the option to connect to RentalWise from the Marketplace page.

  1. You will then be prompted to input your API access token to connect your RentalWise account.
  1. You can find your token by going to the API Access section in the Settings of your RentalWise account. From there, select the button to add a new access token.

  1. Name the new access token Jervis Systems and then select the Save button.

  1. Once the token has been created it can only be viewed one time. Be sure to copy the token to paste into the provided field in Jervis Systems.

  1. Once you’ve pasted the API access token, select the button to connect. You should see that the connection has been enabled.
  1. Next, go to the Properties page within your Jervis Systems account and click Refresh Listings. When the page has been reloaded, you will see all the listings imported from your RentalWise account.

Note: From here, you have the option to edit your listings to add an offset capability that allows Jervis Systems to configure automated keyless access for early check-in and late check-out. If you have the same offset capabilities across all listings, you can use the bulk offset tool to apply these settings across your entire portfolio.

  1. Go to the Devices page and connect your smart devices by selecting the Import Devices button. From there, select your smart lock or device provider and follow the prompts to connect your account.

  1. Once your devices are imported successfully, you will want to assign your devices to your imported RentalWise properties. You can do this by selecting the drop-down list for the device you want to assign and checking the boxes for the properties to which you want it assigned. Once assigned, the property status indicator will turn green for all properties with assigned devices on the Listings page.

  1. You can confirm that automated access is set up by navigating to the Reservations tab in Jervis Systems. You should see the PIN code in the SET PIN field.
  1. You now have your Jervis Systems and RentalWise accounts connected and your SET PIN has been created. In RentalWise, your next steps will be to set up your guest messaging to deliver the code and access instructions to the guest. To set up your message template, navigate to your Inbox tab and select Message Templates.

  1. Select the option to create a new template.

  1. Title the template name “Your door code to open the property” or similar. When drafting your message, be sure to include the door code variable {{record.custom_fields.jervis_door_code}}. Wherever this variable is included in the template, the door code from Jervis will populate when the message is sent to the guest.

  1. Once your template has been created and saved, you will be able to view it in your existing list of templates. From your Message Templates page, select the Automation tab.

  1. Select the option to add a new workflow.

  1. Name the workflow “Door code”, and select the workflow time trigger settings so that the workflow is set to run 1 day prior to check-in.

  1. Scroll down to the Workflow Action settings. Select the action to send a message to the guest from the top-down list. Then select a sender and the door code template you previously created in Step 13. Be sure to save your settings.

18. For same-day reservations, we recommend setting up a separate workflow that sends your previously created messaging template as soon as the code is created. Name this second workflow Same-Day Automation, and set the Workflow Time Trigger as 2 minutes after the external PIN has been created. Then set the status as Confirmed and the booking window as less than or equal to 1 day.

This way, your message is sent automatically after the code is generated in our system for those last-minute reservations.

Success! Your Jervis Systems and RentalWise accounts are connected, your PIN codes are set up, and you have your messaging created to send automatically to your guests.
